Identify the purpose
Explain whether you need a quantity check, visible-condition record, loading supervision, damage survey or another defined inspection. The purpose determines the attendance and evidence required.
Identify the shipment
Give the goods description, shipment or lot reference, quantity and location. Explain whether all of the cargo will be accessible.
Agree the criteria
Provide the relevant specification, contract requirement or inspection instructions. Distinguish checks on visible condition from tests of properties that cannot be assessed by observation.
Arrange access and attendance
Name the party who can authorise access and state when the cargo will be available. Loading or discharge supervision needs to be arranged before the activity takes place.
Confirm the report
Agree the findings, photographs, quantity records and other evidence needed. If sampling or testing is required, confirm the method, laboratory arrangements and any required recognition separately.
